Unified document management system

Using the SAP DMS solution, you can implement a central administration system by logically classifying the electronic equivalents of documents. SAP DMS offers a unified management interface for storing the documents and their descriptive data along with the actual documents. DMS does not store the documents physically (they are stored in an external system or archive) but only their administrative, status, and auxiliary data, their hierarchy, and their access methods. Paper-based documents can be ‘entered’ into the system and attached to various DMS items by scanning.

The DMS module is tightly integrated with the SAP system, allow you to connect the records created with the internal documents and objects within SAP. The DMS module accesses the digitized files stored in the archiving system using the standard SAP archiving interface (SAP ArchiveLink). Other text and image files on any file server outside the SAP system can also be attached to the descriptive data of the documents. Similarly to the other applications of SAP, access to documents can be controlled through a sophisticated access control system. The lifecycle of documents can be monitored, and their management can be supported by using the workflow system.
