Archiving, i.e., the long-term storage of one’s documents and data and subsequently making them available, has become an indispensable part of the effective operation and maintenance of IT systems and the support of day-to-day business operations.

The main drives behind SAP data and document archiving


The operative databases of enterprise SAP systems are holding more and more data every year, part of which need not be directly accessible. This huge amount of data may cause several problems:

the performance degrades: managing the database becomes slow and clumsy
applications slow down
the strain on the network increases
resource requirements increase

In these cases, instead of increasing the capacity of the operative mass storage, implementing an archiving system or data archiving provides the ideal solution. Application data, which are not needed during the daily operation (or only a part or an aggregation of which is needed), must be removed from the database for the better utilization of storage resources. However, some data may need to be accessed later (e.g., for long-term product support, tax audits, etc.), so instead of deletion, data must be archived to external storage that allows direct access and retrieval. This way the database is reduced to a manageable size again, and the previously faulty or unnecessary data do not hinder or slow down the production ERP applications.

Besides data archiving, there are several documents used in business (both incoming and locally produced) that cannot or can only partly be integrated with existing, database-based applications. This highlights the necessity of archiving systems, which enable the storage and management of a large number of digitized (scanned) documents as well as those only existing in an electronic format.

In addition to the technological aspects mentioned above, further drivers behind archiving are compliance and business-related requirements. Compliance with various laws (regarding taxation, archiving, and privacy) and internal regulations all raise the necessity for a high-performance, consolidated enterprise archiving system.
